KDance Terms and Conditions

By enrolling with KDance, you confirm that you have read, understood and agree to these Terms & Conditions.

1. Attendance

  • Children are encouraged to attend classes independently from the age of three, helping them build confidence and independence in a safe and supportive environment.

  • Parents of younger children should remain within the building until their child has settled into class or where requested by KDance (for example, where a class assistant is unavailable).

  • If your child is unable to attend a class, please record their absence using the KDance Parent Portal to ensure their teacher is notified.

  • Please do not attend class if unwell.

  • Students unable to dance through injury are welcome to watch thier class.

 

2. Uniform

  • Students are expected to attend classes wearing the correct KDance uniform.

  • Hair should be neatly secured and prepared appropriately for the class. Where possible, long hair should be worn in a neat bun unless otherwise advised.

  • Jewellery should not be worn during class unless required for medical or religious reasons.

  • New dancers will be given a short period to obtain the correct uniform.

  • Repeated failure to wear the correct uniform may result in the matter being discussed with a parent or carer.

 

3. Inclusion

KDance is committed to providing a welcoming, inclusive and supportive environment.

Parents and carers are encouraged to share any information that will help us support their child. Whilst we will always make reasonable adjustments wherever possible, there may be occasions where we ask parents or carers to work in partnership with us to ensure their child can participate safely and successfully in a group class.

If, despite reasonable adjustments, we feel a group class is no longer meeting a child's needs or is preventing others from participating fully, we reserve the right to discuss alternative arrangements with the family.

 

4. Toilet Arrangements

Our Banff and Peterhead venues do not have toilet facilities within the studio.

Where possible, younger children will be accompanied to the toilet by a member of staff or class assistant. If an assistant is unavailable, older children who are confident may be asked to use the toilet independently.

Parents should familiarise themselves with the venue and advise us if they do not wish their child to use the toilet independently. In these circumstances, parents may be asked to remain nearby during class.

 

5. Trial Membership

  • All new dancers begin with a paid four-week trial membership.

  • Trial membership fees must be paid before the first class.

  • If the trial membership ends before monthly membership begins, any classes attended before the first Direct Debit collection will be charged on a pro-rata basis.

 

6. Membership & Payments

  • KDance operates a monthly membership paid by Direct Debit.

  • As of September 2027, all fees will be collected on 1st of the Month

  • Membership fees are spread equally across the teaching year and collected in 12 equal monthly payments.

  • Monthly membership begins on the next available Direct Debit collection following completion of the trial membership.

  • Your first Direct Debit will include your first month's membership fee plus one additional month's payment, which will become your final month's notice payment.

  • Alternative payment methods are available only by prior agreement and may be subject to an administration charge.

 

7. Cancelling Your Membership

  • KDance memberships require one calendar month's written notice to end.

  • If you decide to cancel your membership, please notify us by email at info@kdance.co.uk. To allow sufficient time to amend your Direct Debit before the next collection, written notice must be received by the 25th of the month. Notices received after this date will take effect from the following month.

  • Your child's final month's classes will be covered by the final month's membership payment collected when you joined KDance. Your child is welcome and encouraged to continue attending classes throughout this notice period.

  • Cancelling your Direct Debit does not constitute notice of cancellation. Membership remains active until the required written notice has been received.

  • Provided your account is otherwise up to date, no further membership fees will be payable after your child's final month of attendance.

 

8. Missed Classes

Membership fees secure your child's place within the class and are therefore non-refundable for missed classes due to illness, holidays or any other absence.

 

9. Failed Direct Debit Payments

  • A £2.00 administration fee will be added for each failed Direct Debit payment.This is to cover the charges we receive for failed payments)

  • Outstanding balances must be settled promptly.

  • KDance reserves the right to suspend attendance until accounts are brought up to date.

  • Families experiencing financial difficulties are encouraged to contact us before payment is due so we can discuss possible solutions.

 

10. Communication

  • Our preferred method of contact is info@kdance.co.uk.

  • Parents and students should not contact KDance staff through personal telephone numbers, personal email addresses, social media accounts or private messaging services.

  • Staff are not permitted to communicate privately with parents or students using personal accounts or devices.

  • We aim to respond to enquiries within three working days, although responses may occasionally take longer during particularly busy periods.

 

11. Parent Portal

The KDance Parent Portal is our primary source of student information.

Parents and carers are responsible for ensuring all information is accurate and up to date, including:

  • Contact details

  • Emergency contacts

  • Medical information and support needs

  • Photography and video consent

Important: Updating information within the Parent Portal does not automatically notify KDance.

If you make any significant changes to your child's medical information, emergency contacts, support needs or photography consent, you must also notify us by emailing info@kdance.co.uk.

 

12. Behaviour & Respect

KDance is committed to providing a positive, respectful and supportive environment for everyone.

Students, parents, carers and visitors are expected to treat staff, volunteers and one another with courtesy and respect at all times.

13. Class Observation

To encourage independence and minimise distractions, parents and carers are not normally permitted to observe classes unless invited by KDance or where this has been agreed in advance.

 

14. Photography & Video

Photography and video consent is managed through the KDance Parent Portal. It is the responsibility of parents and carers to ensure their consent preferences remain up to date and to notify KDance directly by email if any changes are made.

 

15. Personal Belongings

Students should bring only essential belongings to class. KDance cannot accept responsibility for the loss of or damage to personal belongings.

 

16. Changes to Classes & Fees

KDance reserves the right to amend class timetables, venues, teachers, fees or class schedules where necessary. Reasonable notice will be given wherever possible.

 

17. Exceptional Circumstances

If classes are cancelled due to circumstances beyond KDance's reasonable control, we will make every reasonable effort to provide an alternative class or learning opportunity where possible. If this is not possible, any refund, credit or other arrangement will be at the discretion of KDance, taking into account the circumstances of the closure.

The safety of our dancers, families and staff is our priority. In the event of severe weather or other exceptional circumstances, KDance will assess each venue individually and decide whether classes can safely proceed. Decisions will take into account official weather warnings, local road conditions, school closures, staff travel and the safety of our families. Where classes are cancelled, families will be notified as soon as possible through our usual communication channels
